EIFS refers to Ellerslie International Flower Show Managment.
Theme
Theme your site around garden concepts. This supports the overall look and attraction of the event and is very popular with judges and visitors. Include pictures or promotional material of the goods we intend to sell from our site (this applies to all applicants regardless of event history).
Deposit
The 20% deposit is non-refundable. Exhibitors that cancel their site within the two calendar months prior to the show are liable for the whole cost of the site.
Cleanliness
Provide a cleanliness bond with site application in the form of a separate cheque (post dated for March 15th 2011) for $250 which will only be banked if the site is left in an unsatisfactory condition (rubbish or rubble left on site). If the site is left clean the cheque will be destroyed, if you need it returned to you then please also send a postage paid addressed envelope with the cheque.
Health and Safety
Rules and obligations concerning health and safety are contained in The Health and Safety Guide which will be distributed closer to the show.
Exhibitors will be obligated to sign the Health and Safety Form and presented to the Site or Exhibitor Office upon arrival on the show site for the first time.
Key Dates
Key Dates will be provided in the Retail Exhibitor Pack sent out to each Exhibitor with show tickets prior to the event.
Build-up/ Breakdown
Exhibitors will have access to their sites as per the dates and times set out in the Key Dates section. No Exhibitor may commence build-up until they have signed in at Exhibitor Services.
Final set-up is to be complete by the date and time set out in the Key Dates section. All tools and materials used in construction must be removed from the site by final set-up.
Build up of site may not occur between midday Monday and midday Tuesday of the week that the show commences.
On breakdown exhibitors must remove from the site everything that was brought in.
Exhibitors must not breakdown their sites before sell-off (last 2 hours of final show day) ceases.
Breakdown finishes at the date and time set out in the Key Date section, and security will be on site till then. On the final day of the Show, after the Show closes, Exhibitors are strongly advised to clear their sites and remove their property from the Show site.
Promotional Material and Intellectual Property
The Exhibitor may not use the EIFS Marks or the Council Marks or other intellectual property belonging to either EIFS Management or the Christchurch City Council in any manner, without the prior consent of the Retail Manager.
The Exhibitor acknowledges that EIFS Management retains sole control over the creative content and all intellectual property in connection with EIFS.
All sites will be photographed during show week and remain the property of EIFS Management and are able in digital format on request.
Programme Information
Exhibitors must provide to the Retail Manager or an EIFS representative, on or before the dates set out in the Key Dates section, company and exhibit contact details and a brief description of their exhibit for the official Show programme.
The details provided by Exhibitors may be included in their entirety, edited or not used at all, at the discretion of EIFS Management
Cancellation of Show
EIFS Management may cancel or postpone the Show on any or all of the Show open days owing to a force majeure event (including floods, earthquakes and other acts of God) or inclement weather conditions (which means weather conditions that are unacceptable to EIFS Management in that such conditions would impair [performance], cause damage to equipment, or raise health and safety concerns.
Insurance
EIFS Management and Christchurch City Council carries third party insurance cover in respect of any such claim through its liability or negligence during the Show.
Exhibitor insurance
Insurance cover for loss or damage to Exhibitors’ goods or property on site is the full responsibility of the Exhibitor. Exhibitors are encouraged to obtain insurance cover for their property.
Liability
EIFS Management will not be liable for compensation for loss or damage by theft, fire, water, accident, the requirements of the local authority, or any other cause whatsoever.
EIFS Management has no responsibility to any but its own employees and members of the public.
All exhibits will be staged, and all personal property will be placed, at the risk of the Exhibitors. Exhibitors are solely responsible for the security of their property before, during and after the Show. EIFS Management will not be liable for any loss or damage whatsoever caused.
If the Show is cancelled on any or all of the Show open dates, for any reason [due to a force majeure event or inclement weather conditions. Exhibitors shall not have a claim on EIFS Management or its employees for loss, damage, interest, or compensation.
