Application Process
· Any person, business, company or other body may apply for a site to stage an exhibit at EIFS.
· Applications must be made on the official application form (contained in this Guide) and posted to the Exhibition Manager, Ellerslie International Flower Show, PO Box 25435, Victoria Street, Christchurch.
· Only original application forms will be accepted, although the form may initially be faxed to EIFS Management on (09) 523 5201 or scanned and emailed to kate@ellerslieflowershow.co.nz.
· EIFS Management will consider requests for specific sites, although they are not bound to accept such a request. Please contact the Exhibition Manager to discuss sites in further detail.
Acceptance by Exhibitors
· Application for a site by an exhibitor and/or the acceptance of a site offered shall mean that the exhibitor agrees to observe and conform to (and ensure its employees, consultants, contractors or anyone representing or working on behalf of the exhibitor) conform to:
§ The terms, conditions and rules outlined in this Guide and the Exhibitor Information Booklet;
and
§ Any additional terms, conditions and rules in connection with the Show reasonably advised by EIFS Management;
Assessment of Application
· Applications for a site at EIFS will be assessed by EIFS Management.
· EIFS Management adopts a good faith approach in assessing all applications. Choosing the highest standard of exhibitor is crucial to the integrity of the Show.
· Applications for a site will be assessed against the following criteria (not necessarily in order of importance):
- The relevance of it to a garden show and to the selected exhibition area.
- The impact of the display design.
- Past performance and level of presentation demonstrated by the applicant.
Allocation of Site
· A site is allocated by EIFS Management, at its sole discretion, after the careful assessment procedure described above.
· If an exhibitor wishes to request a specific area/exhibit site within the show this should be done at the time of application. EIFS Management will endeavour (where possible) to work with these requests but at no stage can this request be guaranteed.
· Exhibitors are notified in writing at least 3 weeks after receipt of the application as to whether or not they have been allocated a site.
· An Exhibitor may not sublet, or otherwise part with, the whole or any part of the site allocated.
Cancellation of Site Allocation
By EIFS Management
· After the allocation of a site, and prior to the Show opening, matters may come to the attention of EIFS Management which either it was not aware of at the time the site was allocated to a particular exhibitor, or which have arisen since the time the site was allocated. If, as a result of such matters, EIFS Management, in its reasonable opinion, considers the attendance of the exhibitor at the Show would be prejudicial to the interests of the general public or the good name of EIFS, EIFS Management reserves the right to cancel or amend any allocation of a site.
· EIFS Management reserves the right to cancel the site allocation, and therefore this entire agreement, if any of the terms, conditions or rules contained in this Guide or the Exhibitor Information Booklet are infringed.
Alteration of Sites and Exhibits
By EIFS Management
· EIFS Management reserves the right to:
- Make alterations to the layout and size of any site allocated at any time, if necessary to the layout of the Show as a whole;
- To refuse any article to be shown which it considers unsuitable, and to require its removal from the Show site even though it may have been put on display.
By the Exhibitor
· Exhibitors are allocated a site on the basis of the design briefs approved by EIFS Management. Any significant aspect of an exhibit changed from that on the application form must be notified to the Exhibition Manager.
· If the Exhibition Manager considers, in their reasonable opinion, that such a change is unsuitable, EIFS Management reserves the right to refuse to allow any exhibit or part thereof to be shown / cancel the site allocation.
